Information
Privacy policy
This policy explains what information the Qualivision Services website collects, why it is used, how long it is kept and how it is protected. It describes the website as it currently works.
Last updated: October 2026
1. Who is responsible for the website
The website and the information sent through it are managed by Qualivision Services SARL (ICE 003720050000016). The company information is set out in the Legal notice.
2. Information we collect
The website only collects the information you choose to send through its forms, together with a limited amount of technical data. It does not ask you to create an account.
3. Contact and quote requests
- The quote request form collects: company name, your name, email address, telephone number, industry, service required, part type and estimated quantity (optional), the description of your need, any files you attach and your agreement to the use of your information (required).
- The contact form collects: your name, company (optional), email address, telephone number, the subject of your request, your message, any files you attach and, if you tick the box, your agreement to the use of your information.
For both forms, the website also records the date of your submission, the language of the page you used and, where you ticked the consent box, when you did so.
4. File attachments
Please only provide files and information necessary to assess your request, and avoid sending sensitive personal information.
Accepted files are PDF, JPG and PNG documents: up to 5 files, 8 MB per file and 10 MB in total. Each file is checked on receipt, stored outside the public part of the website under a random name, and can only be opened by authorised administrators after logging in. Attached files are never sent by email.
5. Technical data
- Your IP address and your browser’s user agent (browser and system type) are recorded with each submission.
- To protect the forms against spam and abuse, the IP address of each submission attempt and its outcome (accepted, rejected, spam or limited) are recorded.
- The application keeps an error log needed to operate the website, and the web server may keep standard access logs under its hosting configuration.
6. How information is used
- To read and answer your request and, where relevant, to prepare a proposal.
- To notify the Qualivision team of your request and, where enabled, to send you a confirmation of receipt.
- To manage requests in the website’s private administration area.
- To protect the website and its forms: hidden anti-bot field, single-use signed form token, limits on the number of submissions and detection of duplicate submissions.
Your information is not used for newsletters or advertising, and it is not sold.
7. Basis for using your information
Information sent through the forms is used because you ask Qualivision Services to consider and answer your request. The quote request form asks you to agree to this use before it is sent. Technical data is used to keep the website and its forms secure.
8. Who may receive the information
Your information is used by the Qualivision Services team handling your request.
When a form is submitted, a notification is sent to the Qualivision team through the email server configured for the website. It contains your contact details, the options you selected, an excerpt of your message and the number of attached files — never the files themselves.
A confirmation of receipt may be sent to the email address you entered, in the language of the page you used. It contains only the reference of your request, the service or subject selected and the date, never a copy of your message. The number of confirmations sent to the same address is limited.
Qualivision Services uses technical providers for website hosting and email delivery, which process data on its behalf only to operate these services.
9. Data storage and security
Submissions are stored in the website’s database. They can only be viewed by authorised administrators, each with a personal account protected by a password and optional two-factor authentication. Administrative actions are logged.
Other measures include server-side validation of every form field, checks on attached files, private file storage, a database account with restricted permissions and protection of the forms against automated and cross-site submissions. These measures reduce risks, but no website or storage system can be considered completely secure.
10. Retention
- Quote requests, contact messages and their attached files are kept until they are deleted by an administrator. The website does not currently delete them automatically.
- Records of submission attempts (including the IP address) are deleted automatically once they are more than 30 days old.
- Single-use form token records are deleted automatically after 2 days.
- Email delivery records (sent, expired or cancelled) are deleted automatically after 90 days. A confirmation email that could not be sent within 24 hours is not sent later.
11. Cookies
The website does not use analytics, advertising or tracking cookies, so it does not display a cookie banner. It uses only the following technical cookies:
- qv_form: security cookie set on the pages that contain a form, used to protect submissions against cross-site request forgery; it expires after 12 hours.
- qv_lang: set only when you use the language switcher, to remember the language you chose; it expires after one year.
- A session cookie used only in the private administration area, for logged-in administrators.
12. Third-party services
The website does not load third-party scripts, fonts, maps, videos, analytics or advertising services: its pages and files are served by the website itself. Links to social networks or a map service may be displayed; those services are only contacted if you follow the link, and they then apply their own privacy policies.
13. Your privacy rights
Within the limits provided by applicable law, you can ask to access the personal information you have sent us, to have it corrected or deleted, or object to its use.
14. How to exercise your rights
Send your request through the contact form, stating the email address used in your original request so that it can be found. Qualivision Services may ask for information needed to confirm that the request comes from you.
15. Changes to this policy
This policy may be updated when the website or the way it uses information changes. The date of the latest version is shown at the top of this page.
16. Contact
